At Dheary Space, we reserve your chosen event date exclusively for you once a booking is made, which means we turn down all other potential inquiries for that time slot. Because of this, we have established a clear and fair Refund & Cancellation Policy.

By paying a booking deposit or full payment for any venue reservation at Dheary Space, you acknowledge and agree to the terms outlined below.

1. Booking Deposit Policy

  • Non-Refundable Deposits: All initial booking deposits paid to secure a venue slot, package, or event date are 100% non-refundable.

  • Slot Lock-In: Deposits are non-refundable regardless of the reason for cancellation, as they cover administrative processing and the holding of exclusive venue rights for your reserved time.

2. Event Cancellation Terms

If you need to cancel your booking entirely, the following refund conditions apply based on the full package value and when the cancellation notice is received in writing (via Email or WhatsApp):

  • More than 30 Days before event date:

    The initial deposit remains non-refundable. Any additional payment made beyond the deposit will be refunded in full.

  • 14 to 30 Days before event date:

    The deposit is non-refundable. Any additional payment made beyond the deposit will be refunded at 50%.

  • Less than 14 Days before event date:

    No refunds will be issued for any payments made (deposit or balance payments), as vendor orders, food prep, and staffing will have already been finalized.

Note: Non-attendance or failure to show up on the reserved date without prior notice will be treated as a last-minute cancellation with zero refund.

3. Date Rescheduling & Postponement

We understand that unexpected circumstances arise. If you wish to change your event date instead of canceling:

  • Notice Provided 14 Days or More in Advance:

    You may reschedule your event once (1 time) free of charge, subject to venue slot availability within 3 months of your original date.

  • Notice Provided Less than 14 Days in Advance:

    Rescheduling is subject to a RM 300 Date Transfer Fee and manager approval, depending on calendar availability.

  • Rate Adjustments: If you move your event from a Weekday (Mon–Thu) slot to a Weekend (Fri–Sun) slot, you will be required to pay the difference in base package rates.

4. Refundable Security Deposit (Cautionary Deposit)

If a separate refundable security/damage deposit was collected prior to your event:

  • Condition of Return: The security deposit will be refunded in full within 3 to 5 business days following the event, provided that:

    1. No damage occurred to the venue, furniture, or equipment.

    2. The event ended strictly on time without unauthorized overtime.

    3. No prohibited items were used (e.g., alcohol, smoking/vaping, confetti, glitter, or unauthorized tape/decorations causing damage).

    4. All house rules and cleanliness standards were maintained.

  • Deductions: Dheary Space reserves the right to deduct costs for damage repair, specialized deep cleaning, or overtime charges from the security deposit before returning any balance.

5. Add-Ons, Catering & External Vendor Fees

  • Add-On Services: Custom decor, catering orders, or third-party vendor arrangements booked through Dheary Space cannot be refunded if cancelled less than 14 days prior to the event.

  • External Vendor Fees: The RM 50 fee per external vendor is non-refundable once the vendor list is approved and processed.

6. Unforeseen Events & Force Majeure

In the rare event that Dheary Space must cancel your booking due to circumstances beyond our control (such as major venue damage, severe utility failures, or government-mandated lockdowns/restrictions):

  • You will be offered the option to reschedule your event to a future available date at no additional cost, or receive a full refund of all monies paid to date.

  • Dheary Space shall not be held liable for any secondary or indirect expenses incurred by the client (such as printed invitations or external travel costs).

7. How to Request a Cancellation or Refund

All requests for cancellations, postponements, or deposit refunds must be formally submitted in writing.

Required Details:

  1. Full Name of Booking Host

  2. Invoice / Booking Reference Number

  3. Reserved Date & Time Slot

  4. Reason for Cancellation or Rescheduling

  5. Bank Details (Bank Name, Account Holder Name, Account Number) for approved refunds.

Approved refunds will be processed via bank transfer within 7 to 14 working days from the date of confirmation.
